Electronic Time and Attendance Systems prevent timesheet fraud

Timesheet amendment requests

Inaccurate employee attendance data and timesheet fraud can easily occur across organizations that are still relying on manual processes and paper timesheets, experts in the field have revealed.

Statistical analysis has revealed that inputting and/or approving incorrect data is one of the most common abuses of attendance information. This abuse can either be accidental, where it proves either employee carelessness or a lack of proper management control processes, or intentional, where it amounts to fraud.

Timesheet fraud can have many aspects. For example, when using paper-based timesheets, it’s very easy for employees to enter incorrect times of arriving and leaving work and overstate or round their hours up to the nearest hour. Overpayment then occurs as the employee is paid based on falsified hours or rates.

Furthermore, if employee attendance data has to be retyped from timesheets or time cards into a payroll system, it is very easy for a dishonest employee to change the numbers, while this process is also highly susceptible to typos and mistakes.

Further inaccuracies can occur when employees fill in timesheets weeks or months after they have worked these hours. Supervisors then sign off on these timesheets when realistically it is unlikely anyone can actually 100% guarantee that these hours were worked particularly for supervisors who are responsible for large teams.

Tensor WinTA.NET Time and Attendance software – helping you avoid timesheet fraud

The WinTA.NET Time and Attendance Software Suite is the flagship product of our proven range of Windows™ based time and attendance products. It provides total control over the creation of working rules, Access Control, Job Costing and System Security.

All user activity within the system is recorded for audit purposes, with time & date transactions of information both before and after changes. Logs also maintain records of system events for fault finding and trouble shooting.

All frequently used methods of calculating employee hours are handled by the WinTA.NET Time and Attendance Software. From simple determination of overtime by the number of daily hours worked, to the more complex payment of overtime hours adjusted when periodic targets are not met, WinTA.NET can supply working rules to calculate the correct result.

The system contains special rules to accommodate the formal flexitime contracts worked by many public sector employees. Workers paid on an annual contract basis can receive reports stating how many contracted hours they have yet to work.
