Tensor.NET - Software Modification SSM Attach Documents to Absence Requests

New changes were added to Tensor.NET, allowing SSM users to attach documents when making a request to their Line Manager.

Systems requirements

These modifications are available when these system components are installed:

  • Version 4.5.1.19 or above of Tensor.NET
  • A valid Tensor.NET serial number activated for Time & Attendance
  • A valid Tensor.NET serial number activated for Self Service Module

Installation

A person with at least local administrator rights and familiarity with Windows services and your company’s Tensor.NET configuration must perform this installation. If in any doubt please get in touch with your system administrator.


To upgrade to version 4.5.1.19 of Tensor.NET, retrieve the correct version setup kits from your assigned Tensor Engineer.

The process of installation is to install the Server kit first and then once complete, you must then install the Client installation. Launch the Tensor.NET Server installation Kit and follow the wizard instructions to install the software. You may be requested to use the Add Remove Programs feature to remove the existing copy of Tensor.NET before the upgrade can be installed. This procedure does not remove any system data.

Follow the on-screen prompts to install both packages. For further information on this procedure, please refer to the installation guide, or contact Tensor Support for assistance.

Attaching documents

Activate the ‘Allow Documents on Absences’ feature


The first step is to activate the new feature in the systems ‘Features Selection’ option. Login to the SSM with an account that has Admin credentials. Navigate to Administration -> Features Selection and select ‘Absence & Shifts’ as shown below. Locate the ‘Allow Documents on Absences’ setting and enable this option then save the changes.

Next, navigate to the ‘Role Management’ area and enable the same setting in the User’s Role ensuring you save the settings.


Adding Documents to a Request


When requesting an absence, an employee will now be able to attach one or more documents to the request.
Navigate to the Absence Planner and request to book an absence in the normal manner by selecting a date on the planner.


The Request screen now has an additional option as shown to the right.


Documents can now be added by either clicking the ‘Choose/Select Document’ or by simply dragging and drop the files into the area provided. Once the document has been
added, select the ‘Add New Request’ as normal.

After the request has been submitted, the absence will show on the planner as normal, hovering over the absence will display the absence details whereas a single left click with display more details to the User as shown below.


This screen has been modified to show the document link. Clicking this link will allow the User to view the notes details or offer the option of downloading the document to view if required.

Authorisers – Viewing Documents


The ‘Line Manager Tasks’ screen has now been modified so authorising Users are able to view any documents that are attached to Absence requests. Once the request has been made, Authorisers can click the ‘View’ icon on the line of the request as indicated here.

Clicking on the ‘View’ icon opens up the standard view window which has now been modified to include a new ‘View Document’ option. Clicking the View Document allows users the option to download the document to view if required as shown here.

In Addition, the documents can also be viewed in the Systems ‘Correspondence History’ option found within the employees’ record.
